Data Protection

General Information

WCPPE is a unit within the Welsh School of Pharmacy, Cardiff University and as such complies with the policy of the university in relation to privacy and its compliance with Data Protection and Privacy laws.

Cardiff University is registered as a Data under the Data Protection Act 1998. Any query should be addressed to Data Protection Officer, Governance and Compliance Division, Cardiff University, McKenzie House, 30-36 Newport Road, Cardiff, CF24 0DE.

This Data Protection Policy deals with personally identifiable information (referred to as "Data" below) that may be collected by us on or held by us on our site. This statement will help you understand how we collect, use and protect the personal information you provide to the Centre.

Information you provide to the Centre will be treated in accordance with the terms laid out in this statement.

This Policy does not apply to other entities that we do not own or control or persons that are not our employees, agents or within our control. In the event you choose to use links that appear on our site to visit other web sites, you are advised to read the privacy policies on those sites. We accept no responsibility or liability for the content of these websites and the information they collect.

Gathering and using information (data)

WCPPE gather and hold data to enable us to provide a comprehensive range of educational opportunities that supports service development and provides continuing professional development (CPD) opportunities for the pharmacy team in Wales.

To enable WCPPE to identify pharmacists and pharmacy technicians with Wales, information on registrants in Wales is provided to WCPPE by the General Pharmaceutical Council. This data sharing is controlled through a formal agreement that can be found in the Information Sharing Agreement.

Any further information that we collect will be with your knowledge and consent.

For example we may collect email addresses, mobile numbers, areas of work and professional interests to enable to communicate with you and provide information relevant to you. This data may also be used to help us modify our services to provide you with improved resources. All information will be securely stored and not shared with any third party unless included within this policy. Any changes to this policy will be notified via the website and WCPPE brochure.

Cookies

Like many web sites, we may set and use cookies to enhance your user experience. Restricting all cookies served from our service will prevent our service from working correctly.

Privacy

We respect the privacy of your data. We will not disclose it unless this is done with your consent, we are legally required to or it is expressly stated within this Policy. We reserve the right to review and adapt this policy in response to changing legislation or service need of WCPPE. We will notify you of substantial changes to this Policy either by posting a prominent announcement on our site and/or by sending a message to the e-mail address you have provided to us that is contained within your profile.

Access by other organisations

Access to your data by other organisations will be restricted to the external web host for WCPPEonline for the purpose of development and maintenance, and to our mailing services provider. In some cases, where your completion of an activity is a requirement for professional NHS service delivery, we will share this information on your name and registration number with NHS Wales.

In each case the data access is covered by a data protection and security agreement.

Any other disclosure will be only that which we are required to do under the Data Protection Act.

Information or complaints

If you want to make a compliant you should do so in accordance with our complaints policy.

Data Security

We have policies and processes in place to ensure that your data is stored and handled securely, to protect it from unauthorised use or from being lost or stolen. Where we use a third party contractor we ensure that they comply with our standards.

We require you to keep your access password and user name for WCPPEonline safe and let us know if you think its security has been breached.

Access to your data

You can write to us at any time to obtain details of the personal information we may hold about you. This can be done by applying in writing to Data Protection Officer, Governance and Compliance Division, Cardiff University, McKenzie House, 30-36 Newport Road, Cardiff, CF24 0DE.

A charge of £10 for the administration of this request will be made in line with the Data Protection Act 1998.
